WhatsApp chatbot
or orchestration?

A chatbot manages a conversation. Orchestration coordinates the knowledge, decisions, approvals and system actions required to complete the business journey behind it.

01 THE DIFFERENCE

Conversation is
the surface.

The meaningful difference appears after the customer sends a message.

A conventional chatbot may answer, classify or route. A WhatsApp orchestration layer maintains the journey across business rules, approved knowledge, internal owners, configured tools and human decisions until the next valid outcome is reached.

CHATBOT / SCOPE

Answer and navigate

Useful for bounded questions, menus, basic qualification and information retrieval.

ORCHESTRATION / SCOPE

Coordinate the journey

Moves context and responsibility across stages instead of ending at the response.

CHATBOT / CONTROL

Conversation rules

Often governed mainly by prompts, menus, intent handling and escalation.

ORCHESTRATION / CONTROL

Business authority

Adds permissions, approval points, exceptions and evidence around real actions.

02 WHEN TO CHOOSE

Use the smallest system that completes the job.

Choose orchestration when a conversation must reliably cross people, knowledge and business systems.

01

Multiple handoffs

The journey depends on several teams, decisions or timed follow-ups.

02

Consequential actions

The workflow changes records, commitments or customer outcomes and needs control.

03

Persistent context

Approved organizational knowledge and journey history must remain available across stages.

BUYER CHECKLIST BEFORE A WORKFLOW CAN ACT

Ask for evidence at the approval boundary.

Use these checks when a customer conversation can change a record, trigger a payment or create a commitment. Ask the vendor to demonstrate each result on your pilot workflow.

01

Who can authorize it?

Identify the business owner, the permitted tools and the actions requiring human approval. Demonstrate that a user without permission cannot trigger the action.

02

What happens on denial?

Reject an approval and inspect the destination system. The action should remain unexecuted, with the reason and next responsible person visible.

03

Can you reconstruct the outcome?

Trace the request, knowledge used, policy decision, approver and tool result. Include a timeout or retry so the pilot also tests exception handling.

When is a chatbot enough?

A chatbot can suit bounded questions, navigation and simple information retrieval when no cross-system action or consequential decision is required.

Where do people remain involved?

People remain responsible for exceptions, sensitive decisions and approvals defined by the workflow.
